Quote management
Find each proposal, know what you can do with it in its current status, and reuse what already worked.
What it is
Quotes, in the main menu, gathers all your organization’s quotes, newest first. From there you open each one’s detail, where its actions, activity, conversation, and versions live.
Requirements
- View: any member of the organization.
- Quotes permission: create, continue editing, send, modify and resend, delete drafts, and reply in the conversation.
- Approvals permission: mark approved or rejected, decide internal approvals, and record payment and issue the document from the detail.
- Plan: all. The number of active quotes is capped on Free (5) and Starter (50).
Find a quote
Filters (pills above the list, each with its count):
| Filter | Includes |
|---|---|
| All | Every quote. |
| Open | Draft, Sent, and Viewed. |
| Needs approval | Those waiting for an internal approval. |
| Approved | Approved. |
| Paid | Paid and Invoiced. |
| Closed | Rejected and Expired. |
Search: the list has no search box of its own. On desktop, open the command palette (⌘K on Mac, Ctrl+K on Windows) and type at least two characters of the quote number or the client’s name; it shows up to 6 quotes, plus matching clients and products.
From other screens: the funnel and pipeline bars on Home open this list with the matching filter already applied.

A quote with a monthly retainer doesn’t show Record payment: its charge is the subscription, which you can cancel with Cancel retainer.
With a milestone plan, the detail of an approved quote shows each payment with its status: Mark as completed and Undo on the ones due on completion, and Reschedule to change the dates, conditions or days of pending ones. They require the Quotes or Collections permission.
Drafts
- Save draft in the editor saves the client, terms, lines, prices, and conditions. A draft can be saved without a client; to send it you need one.
- To pick it up again, open it and click Continue editing: the same editor opens (Edit draft). From there, every change saves itself a few seconds later and Save and send sends it. See Preview and sending.
- Delete draft asks for confirmation (“This action cannot be undone. Delete this draft?”) and removes it completely. Only drafts can be deleted: a quote that already went out isn’t deleted, it’s rejected or left to expire.
Duplicate a quote
- Open any quote, in any status.
- Click Duplicate quote.
- Cord creates a new draft with its own number and a 30-day validity, and takes you to it. The duplicate’s activity notes which quote it was duplicated from.
What it copies: client, payment terms, notes, and lines (description, quantity, list price, and price).
What the duplicate doesn’t copy: the sales currency (the duplicate is in MXN), the exchange rate, the deposit, the monthly retainer, Prices include VAT, each line’s tax rate (it goes back to your catalog’s default), each line’s cost, the conversation, the signature, and the versions. Open the duplicate with Continue editing and check those fields before sending it.
The duplicate counts as an active quote: if you’ve hit your plan’s cap, it isn’t created.
Versions
While a quote is Sent, Viewed, or Expired, Modify and resend (V2) opens the
same quote editor as New version of COT-0149 and, when you click Send new
version, creates a new version on the same link (the old
/app/cotizaciones/[id]/editar route only redirects to that editor):
- you can change products, quantities, prices, each line’s tax, and Prices include VAT; the client, currency, and terms (payment terms, validity length, deposit, retainer, and note) stay as they were sent;
- if your organization uses internal approvals, the version is checked against the caps before it’s sent;
- the quote goes back to Sent, its validity restarts from that day with the same length it was sent with (if it was 30 days, it expires in 30 days), and the client gets the email again if they have an email on file. That’s how an Expired quote comes back;
- the badge next to the client’s name shows the current version (V1, V2, V3…);
- Version history on the detail lists each version with its date and total.
If the client has the link open, they see the changes live and must review them before approving (see Negotiation and counteroffers).
When a version isn’t enough
To change something Modify and resend doesn’t allow (client, currency, terms, or a different validity length), duplicate the quote, adjust it, and send the new link. Then, on the original (while it’s still Sent or Viewed), use Mark rejected to take it out of the pipeline. Cord has no “Canceled” status: Rejected signals that link is no longer active.
Limits by plan
| Free | Starter | Pro | Scale | Developer | |
|---|---|---|---|---|---|
| Active quotes (draft, sent, viewed, or approved) | 5 | 50 | No cap | No cap | No cap |
| Sends per month | 5 | No cap | No cap | No cap | No cap |
Common problems
I don’t see Mark approved or Record payment. Your role doesn’t have the Approvals permission. If the quote has a milestone plan with interest, Mark approved doesn’t appear: your client approves it from their link.
I can’t delete a quote. Only drafts can be deleted.
Cord says the quote can’t move with this action. The quote already changed status (for example, the client approved it while you had it open). Reload the detail.
The duplicate came out in MXN. The duplicate doesn’t copy the currency; change it with Continue editing.
