Products and pricing

Build the proposal from your catalog, negotiate each line’s price, and see the margin before you send.

What it is

Step 2 of the editor, What are you quoting?, is where you add lines. Each line keeps its List price (from your catalog) and its Price (what the client will actually pay, which you can lower without touching your list price). The discount isn’t a separate field: it’s the difference between the two. When you create an invoice, the same step is called What are you charging for? and works the same way, without the margin column.

The table has the columns Item, Qty, List, Price, the line’s tax (only if your catalog has more than one rate), Amount, and Margin (quotes only).

"What are you quoting?" step with three lines: gray cement × 400, concrete mixer × 2 and concrete pump rental × 10. Under the mixer, "Suggested: $27,550.00 MXN (68% close)", and its 18% margin in red for falling below the 20% minimum. The pump row shows its handle to reorder and the duplicate and remove buttons. The search box reads "40 pipe" and the result offers to add 40 at once.

Requirements

  • Permission: Quotes to quote; Products to create, edit, or import the catalog.
  • Plan: all. The price suggested by history is available from Starter. Free allows up to 50 products and Starter up to 500; from Pro there’s no cap.
  • Per-quote limit: 200 lines.

Build your catalog

  1. Manually: in Products › + New product you set SKU, name, description, unit, and list price. If you capture the cost, Cord calculates the margin.
  2. CSV import: with Import CSV, Cord proposes which column is name, SKU, unit, price, and status; you confirm the mapping. Up to 2,000 rows per file; if a SKU already exists, it’s updated.
  3. Kits: group products you sell together. A kit can have a fixed combo price, different from the sum of its parts.

See Import your catalog for the import details.

Volume pricing

On each product’s profile you can define tiers: a fixed unit price from a minimum quantity (for example, 90 per piece from 500 units). When quoting, Cord applies the tier that matches the quantity entered.

Add lines

  1. Search the catalog by name or SKU in the “Search your catalog… (name or SKU)” box. On desktop, the / key takes you to that box. Press Enter to add the result and keep typing to add several in a row.
  2. Add several units at once by typing the quantity with the search: “40 pipe”, “40x pipe”, or “pipe x40” add 40 units of the product, and the results list shows ×40. If what you type is already the name of a product with a number in it (for example “Bulb 100 W”), the number is read as part of the name.
  3. Insert a kit with + Insert kit: choose the kit, type how many times to insert it, and click Add. Cord adds all its parts multiplying the quantities; if the kit has a bundle price, it spreads it across its lines and tells you how much the client saves.
  4. Add a free line with + Free line for something that isn’t in your catalog: you type the description, quantity, and price.
  5. Adjust each line: quantity, Price and, if your catalog has more than one rate, the line’s tax.

Lines don’t carry their own notes. For clarifications to the client use Note for your client, at the end of the editor.

Edit, reorder, and remove lines

  • Decimal quantities and prices: quantity accepts decimals (1.5 or 0,125 kg) and price accepts a comma or a period as the decimal mark. With both separators, the last one is the decimal (1.234,50 or 1,234.50).
  • Suggested tax: if you assigned a tax rate to the product and that rate is still in your tax catalog, the line comes in with it; otherwise, with your default rate. You can change it on the line.
  • Duplicate: each row’s Duplicate line button creates a copy right below it.
  • Remove with undo: when you remove a line, a “Removed “…”.“ bar with an Undo button appears for a few seconds.
  • Reorder: on desktop, drag the row by its handle on the left. With the keyboard, from any field on the line, use Alt + Up arrow or Alt + Down arrow. There’s no dragging on a phone.
  • Incomplete lines: when you save or send, Cord marks in red a line with no description, a quantity of 0, or no price (for example, “Give this line a price (it can be 0).”). A line isn’t saved at zero unless you decide so.
  • Narrow screens: in a narrow window the row rearranges itself: the list price moves under the name or, narrower still, the fields stack with their labels (Qty, Price). No amount is hidden.

How the discount is built

  1. Client tier (automatic): if the client has a discount on their price tier, Cord lowers the price of catalog products by that percentage and shows “Client tier: −10% applied to your catalog list prices.”
  2. Shopify B2B price list (automatic): if you connected Shopify and the client buys through a company with a B2B price list, that list wins over the tier discount, product by product, and only when the quote is in the list’s currency. If you already changed the price by hand, Cord doesn’t overwrite it.
  3. Volume price (automatic): if the quantity reaches a tier, the line’s list price becomes the tier’s.
  4. Manual price: you can lower the price of any line.

In the Review and send summary, Discount given adds up the difference between list and price across the whole quote. You can also apply a document discount to the whole sale (percentage, amount, or coupon), which Cord spreads across the lines before tax: see Discounts and coupons.

Discounts are always calculated before taxes. The editor and the server use the same calculation engine: what you see is what’s saved, charged, and invoiced.

Price suggested by your history

From Starter, when you add a catalog product Cord looks at your already decided quotes (approved, paid, invoiced, rejected, or expired) and suggests a price. It groups history into discount bands of 5 points and picks the lowest band that closes at least 60% of the time; if none does, it picks the band with the best close rate.

  • Cord looks first at the history of that product, then at that client’s, and finally at your whole organization’s, and uses the first with at least 3 decided lines.
  • The suggestion appears under the name as “Suggested: … (68% close)”. Click it to apply it to the line’s price.
  • If the price already matches the suggestion, or there isn’t enough history, nothing appears.

Margin

The Margin column shows your profit on the price after cost: (price − cost) ÷ price. Lines without a cost show a dash. Each line’s cost is kept when you reopen a draft or build a new version, so the margin isn’t lost. If your organization has a minimum margin in internal approvals, lines below it turn red.

The margin column is internal: it doesn’t appear on the link or in the PDF.

Shopify stock

If your products come from a connected Shopify store, the editor shows “N in stock”, “Only N in stock” if the quantity exceeds what’s available, or “Out of stock” next to each one. It’s a warning: Cord doesn’t block the quote.

Real-time calculation

The Review and send summary updates instantly:

  • Subtotal: the sum of the lines before taxes.
  • Discount given: total difference between list and price (only if there’s a discount).
  • Discount: the document discount or the coupon, if you applied one, with its label (for example, “Discount (WELCOME10)”).
  • Taxes: one row per rate, with your country’s name for it (IVA in Mexico and Spain, VAT in the United Kingdom, GST in Canada, Sales tax by state in the United States).
  • Withholding: if your catalog has any, it’s subtracted.
  • Total: what the client will pay.

Common problems

“Suggested” doesn’t appear. You’re on Free, the product doesn’t have enough history, or the price is already the suggested one.

The margin shows a dash. The product has no cost captured, or it’s a free line.

I don’t see the per-line tax column. Your catalog has a single rate; every line uses it.

The Shopify list wasn’t applied. The quote is in a different currency from the list’s, or you already edited that line’s price.

I removed a line by mistake. Click Undo on the bar that appears at the bottom before it closes. If it already closed, add it again from the search.

I can’t drag lines on my phone. Dragging is a desktop feature; on a phone lines stay in the order you add them.
