Client data
The first step of your quote: define who you’re selling to, on which terms, and with which data their invoice will be issued.
What it is
Step 1 of the editor, Who are you quoting?, links the quote to a client in your directory. Three things come from their profile: their price tier discount, their payment terms, and the recipient data the invoice will use. The same step exists when you create an invoice, titled Who are you invoicing?.
Requirements
- Permission: Quotes to pick a client; Clients to create a new one.
- Plan: Free allows up to 50 clients and Starter up to 500; from Pro there’s no cap.
- To send: the quote needs a client. A draft can be saved without one, but on send Cord asks you to “Choose a client to be able to send.”
Pick or create the client
- In Who are you quoting?, click the client search (“Search a client by name, contact or email…”) and type part of the company name, contact, email, or tax ID. The list shows up to eight matches, each with its email, its tax ID and, if it has a price tier, its discount (for example −10%).
- Pick the client with a click, or with the arrow keys and Enter. Escape closes the list and keeps the client that was already selected.
- If they don’t exist, choose + Create new client…, which always appears at the end of the list; fill in the form and click Create and select. They’re saved in your directory and selected on the quote.
- Check the Payment terms preselected to the right of the search and change them if needed.
Below the search, Cord shows the selected client’s email and tax ID and, if their tier has a discount, a note such as “Client tier: −10% applied to your catalog list prices.”
Payment terms
Terms are chosen with chips: Due on receipt, Net 15, Net 30, and Net 60. For another term, the Other term chip opens a list with Net 7, Net 45, and Net 90. “Net N” means the client pays N calendar days after the document date.
When you pick a client, the terms from their profile are preselected; you can change them for this quote only without touching the profile. Credit terms change what happens on approval (see Advanced options).
Other ways to fill your directory:
- From Clients: + New client for one, or Import CSV to load up to 2,000 rows per file (company, contact, email, phone, tax ID, payment terms, and credit limit).
- From a client’s profile: New quote opens the editor with that client already selected.
- Through the API: the clients API creates and syncs clients from your system.
Price tier and automatic discount
Each client can have a Price tier with a suggested discount you can change in the automatic discount field:
| Tier | Suggested discount |
|---|---|
| Standard | 0% |
| Silver | 5% |
| Gold | 10% |
| Distributor | 15% |
When you pick the client, Cord lowers the Price column of each catalog product by that percentage: with 10%, a product with a List price of MXN 1,000 comes in at MXN 900. The list price doesn’t change and you can adjust any line’s price by hand.
Commercial and tax information
Commercial
- Name or legal name (required): the client’s name, whether a company or a person. It’s also the recipient name on their invoice; write it as it appears on their tax documents.
- Contact: the person who decides.
- Email: where the link is sent when you send the quote from Cord.
- Phone with country code (chosen next to the number, following the client’s country), Credit limit, and Payment terms (Due on receipt, Net 15, Net 30, Net 60, or another term: Net 7, Net 45, or Net 90) proposed when you quote them. See Credit terms.
- Document language: the language in which the client receives the quote, its link, the PDF, and the emails. Organization default uses your account’s language. The quote saves it when sent; see Document language.
Tax
- Country and Tax ID: the tax ID label adapts to the client’s country: RFC in Mexico, NIF/CIF in Spain, EIN/Tax ID in the United States, and so on. As you type, the profile checks its format in Cord’s 12 markets (in Mexico, the RFC’s shape, date and check digit) and warns you if it doesn’t look right. When you save, Cord validates it with the rules of the client’s country (or yours, if you don’t assign a country) and stores it normalized, in uppercase; one that fails isn’t saved and the message says what to check. When editing, it’s only validated again if you change the ID or the country.
- Address: address, city, state or province, and postal code, in the Address section; field names follow the country.
If your business invoices in Mexico and the client is Mexican, a Tax details for CFDI (Mexico) section appears with two CFDI 4.0 fields, filtered by RFC type (12 characters, legal entity; 13, individual):
- Tax regime, for example 601 - General de Ley Personas Morales.
- CFDI use, for example G03 - Gastos en general, which is used if you leave it empty.
If your business invoices in Mexico and the client is from another country, that section doesn’t appear: their CFDI is stamped to a foreign resident (generic RFC XEXX010101000, their country as tax residence, their tax ID as the foreign tax registration number, and use S01). The profile shows a notice about it.
Behavior and edge cases
- Incomplete tax data: the quote is still commercially valid. In Mexico, without an RFC the CFDI is issued with the generic general-public RFC (XAXX010101000); with an RFC but no regime, Cord uses 601. Check RFC, postal code, and regime against the client’s tax certificate before stamping.
- Changing the client after sending isn’t possible with Modify and resend: duplicate the quote and send it to the right client.
- Editing the profile doesn’t rewrite fiscal documents already issued: they keep the recipient data they were issued with.
- Preview in the client’s language: the editor preview appears in the document language of the selected client. In a new version of a quote already sent, it appears in the language it was sent in, which the version keeps.
- Credit limit: if the client has one, their profile shows how much open balance they have against it. It’s a signal for you, not a block.
Limits by plan
| Free | Starter | Pro | Scale | Developer | |
|---|---|---|---|---|---|
| Clients in the directory | 50 | 500 | No cap | No cap | No cap |
Common problems
“+ Create new client…” fails to save. Your role doesn’t have the Clients permission, or you reached your plan’s client cap.
The search says “No client matches.” Search by another part of the name, by email, or by tax ID, or create the client with + Create new client….
I can’t change the client or the terms. You’re on a new version of a quote that was already sent: there the client, currency, and terms stay as they were sent.
The tier discount wasn’t applied. It only lowers catalog products; free lines have no list price.
The CFDI was issued to “público en general” (generic RFC XAXX010101000). The client is Mexican and had no RFC when you stamped. If they’re actually foreign, choose their country in the profile: their next CFDI will be issued to a foreign resident.
