Tasks and follow-up

To-dos with due dates so no deal goes cold for lack of follow-up.

What it is

Tasks are your team’s to-dos: the next call, the pending delivery, the follow-up on a quote. Each one has an assignee, a due date, and a priority, and Cord emails you when it’s due.

They show in two places:

  • The Tasks and reminders widget on Home, with the most urgent ones.
  • The Tasks page in the sidebar (shortcut G T), with every task and the completed ones.
Tasks page with the All filter: the counters Overdue 2 (in red), Due today 3, Mine open 5 and Unassigned 1; the composer with the Today, Tomorrow and Monday shortcuts, the date, High priority and the assignee Ana Torres (me); and the list grouped into Overdue, Today, Tomorrow, This week and No date. In the sidebar, Tasks carries its counter in red. The first overdue task carries the HIGH tag, "Overdue by 2 days", its number COT-0153 with the client and its notes; each row shows the assignee's avatar (navy AT is yours, the dashed circle is unassigned).

Requirements

  • Permission: Quotes, Collections, or Clients (any of the three) to create, edit, complete, or delete. Without any of them you see tasks but can’t change them.
  • Plan: all.
  • Who sees them: every member of the organization.

Create a task

  1. Go to the composer in the Tasks and reminders widget on Home or on the Tasks page.
  2. Type the task, for example “Call Luis to ask whether he reviewed the quote”. Up to 200 characters.
  3. Optional: pick the date with the Today, Tomorrow, or Monday (next Monday) shortcuts, or with the calendar.
  4. Optional: turn on High priority and, if there’s more than one person on the account, choose the assignee.
  5. Click Add (or press Enter). The task shows up in the list without reloading the page.

From any screen: click Create in the top bar and choose Task (or press T); the option shows if you have the Quotes, Collections, or Clients permission, even if you can’t create anything else. New task opens, with the title and the due date; click Add task. The task is assigned to you with normal priority; priority, notes, and assignee are changed later with Edit.

Assignee: with a single person on the account, every task you add is yours. With a team, the selector starts on you (“Your name (me)”); you can pick another active member or Unassigned. Only an active team member can be the assignee.

Notes aren’t entered when you create a task: you add them with Edit (up to 2,000 characters).

Organize your day

  • Groups by urgency: Overdue, Today, Tomorrow, This week, Later, and No date. “Today” is the day in your business’s time zone, not the server’s (change it in Settings › General).
  • Filters: on the page, Open and Completed, and by assignee Mine, All, and Unassigned; the Home widget only has Mine and All. With a team, both views open on Mine. With a single person on the account, the assignee filter doesn’t show.
  • Complete: click the circle. For a few seconds you can click Undo. Under Completed you see who completed it and when, and you can Reopen it.
  • Task menu (···): Edit (title, notes, date, priority, and assignee), Snooze until tomorrow, Monday, or in a week, Assign to me, and Delete. Delete asks for confirmation because it can’t be undone.
  • Linked to a quote or invoice: if the task is linked to a quote (for example, a workflow, the API, a chargeback, or a transfer refund created it), the quote number and the client show as a link to the quote. If it’s linked to an invoice (a workflow on an invoice event, the API, or MCP created it), the link goes to the invoice.
  • Long lists: the page shows 200 tasks per view and says below how many there are in total (“Showing 200 of 260”); the Show more button opens the next ones, 200 at a time (in the example, Show 60 more), up to 1,000. Beyond that, filter by assignee or complete the ones you already did.
  • Notes: on the page they show below the title; in the widget, an icon tells you the task has notes.
  • In the sidebar, Tasks shows how many of yours or unassigned ones are due today or overdue; the number is red when some are overdue.

Email reminder

Every morning, from 8:00 in your business’s time zone, each assignee gets an email with their tasks due today and overdue, with dates in your account’s language and your country’s format. An unassigned task goes to whoever created it. If no one on the team created it (a workflow, the API, MCP, or a chargeback added it) or that person is no longer on the team, it goes to the account owner.

  • Each person gets at most one email a day per organization. If you add a task for today, or move or assign one to today, after that person got their morning email, no second email goes out: it shows up in tomorrow’s, as overdue. If that person hadn’t gotten an email that day yet (nothing was due in the morning), it arrives at the next check.
  • If you snooze a task, it reminds again on its new date.
  • An overdue task that isn’t completed shows up in each day’s email until you complete or snooze it.
  • Tasks without a due date don’t trigger a reminder.
  • The Open my tasks button in the email opens the Tasks page with the Mine filter.
  • Test mode doesn’t send reminders.
  • It’s turned off for the whole organization, not per person: someone with the Settings permission unchecks Task reminder in Settings › Notifications. The email footer says so to whoever can turn it off; everyone else is asked to talk to whoever manages the account.

Tasks Cord creates for you

When a payment operation needs your attention, Cord adds the task with high priority:

  • Respond to the [amount] chargeback: when a client disputes a card charge, with the day (in your business’s time zone) the evidence deadline falls on as the due date. It’s linked to the payment’s quote and created unassigned (see Disputes).
  • Send the [amount] SPEI refund: when you request a refund of a quote’s SPEI payment, which is transferred outside Cord, linked to the quote and assigned to whoever requested it (see Refunds). Completing the task doesn’t record the refund as paid: it only closes your to-do. An invoice’s SPEI payment doesn’t create this task: it’s returned to the account your client provides.

The title is written in your account’s language, and these tasks emit A task is created like any other.

Other ways to create tasks

The Create a task action in Workflows adds a task with a title (it can use event data, such as the quote number or client) and, optionally, Due in (days), up to 365. If the event is about a quote, the task is linked to it; if it’s about an invoice (for example An invoice is paid or An invoice becomes overdue), it’s linked to that invoice and, if the invoice came from a quote, to the quote too. Example: “when the client rejects a quote, create a task to call them tomorrow”.

Task events

Each task emits events you can use in workflows and webhooks:

Event When
A task is created When it’s created from the app, a workflow, the API, or MCP, and when Cord creates it for you (chargeback or transfer refund).
A task is completed When it’s marked complete.

Editing, snoozing, reopening, or deleting a task emits no event.

Limits by plan

Tasks have no cap by plan.

Common problems

I don’t see the tasks widget. You hid it when customizing Home: bring it back from the Library. The Tasks page in the sidebar is always available.

I can’t add a task. Your role doesn’t have the Quotes, Collections, or Clients permission. Without them you don’t see Task in the Create menu either.

A task is missing from the list. Check the filter: Mine only shows yours. The Home widget shows the 8 most urgent; the rest are on the Tasks page, which shows 200 per view and opens more with Show more.

I didn’t get the reminder. It only arrives if you have tasks with a due date of today or overdue, from 8:00 in your business’s time zone, and once a day: what becomes due today after your email goes out shows up in tomorrow’s. Someone else’s task goes to them, not to you. Check that Task reminder is still on in Settings › Notifications, and your spam folder.
