Custom reports and email delivery

Choose how to group and what to measure, save it with a name for the whole team, and get it in your inbox with the period that just ended.

What it is

The Custom report is the explorer in Reports: “Choose how to group and what to measure. Counts the quotes created in the range and what happened to them.” You decide the row (Group by) and the columns (Metrics), and Cord builds the same kind of table report as the others: KPIs compared against the previous period, a chart, a sortable table with totals, and Export CSV.

When a configuration works for you, you save it with a name: it stays in the report picker for the whole team and, if you want, it reaches you by email every Monday or every 1st with the CSV attached.

Reports › Custom report for the last 30 days, with the Save button in the controls card, with Group by Country and the metrics Quotes, Sales, Sold, Close rate and Average ticket selected; Units and Gross margin appear disabled because they only apply when grouping by product. Below, the KPIs against the previous period (Sold $1,390,300.00 MXN, +18%), bars of what was sold by country (Mexico, United States, Spain, Colombia, Canada, and Chile) and the table with its Total row.

Requirements

Requirement Detail
Plan Every plan, including Free.
Permission Reports, to view, build, save, and receive custom reports.
Edit or delete a saved report Whoever saved it, or a Super admin or Admin of the organization.
Schedule email delivery Only whoever saved the report. A Super admin or Admin can turn it off, not on.

Opening it

  1. Go to Reports (side menu › Insights).
  2. Open the report picker and choose Custom report, in the Custom group.
  3. The first time, it starts grouped by Client with Quotes, Sales, Sold, and Close rate, over Last 30 days.

Above the table is the explorer bar: Group by, the Metrics chips and, on the right, Save.

The cohort: which quotes are included

The explorer measures a single cohort: the quotes created in the range that left draft (Sent, Viewed, Approved, Paid, Invoiced, Rejected, or Expired). Each row answers: “of what was quoted in this period, what happened?”.

  • Drafts don’t count.
  • A sale counts in the cohort where the quote was created, even if it was won after the range ended. That’s why the explorer’s Sold may not match Sales over time, which counts sales by approval date.
  • Dates in your time zone and all amounts in your business currency, with the same conversion as the rest of Reports: the rate set on the quote first, today’s published rate after that; a currency without a rate is left out of the sum and the currency note says so. See Dates, time zone, and currency.

Group by

Each option decides what a row is. There are ten:

Group by A row is Details
Client One client. Quotes without a client are gathered under No client. The row and the bar open the client’s record.
Product A catalog product or, for free-text lines, its description. Measures per line, not per quote (see below). A catalog product opens its record; a free-text line has no link. Lines the client didn’t approve in a partial approval don’t count.
Team member The person who created or duplicated the quote. Without a creator (before attribution or created via the API): No team member.
Status The quote’s current status: Sent, Viewed, Approved, Paid, Invoiced, Rejected, or Expired. Useful to see where the cohort ended up.
Month A creation month. In chronological order. Each bar opens that month grouped by Week.
Week A creation week, Monday to Sunday. Each bar opens that week grouped by Day.
Day A creation day. In chronological order.
Country The client’s country, named in your account language. Clients without a country: No data.
Client tier The tier assigned to the client. Clients without a tier: No data.
Currency The quote’s sale currency (MXN, USD, EUR…). Each row’s amounts are still expressed in your business currency: the row tells you how much you sold in that currency, converted.

By Client, Product, Team member, Status, Country, Client tier, and Currency, rows are sorted by the first metric, highest to lowest, with empty ones last. By Month, Week, and Day, in chronological order; only periods with at least one quote appear. The table shows up to 500 rows.

Metrics

Check the chips for the metrics you want to see. The exact definitions:

Metric Grouping by quote Grouping by Product
Quotes Number of quotes in the cohort. Number of quotes that include the product.
Quoted Sum of those quotes’ total (including taxes and minus withholdings). Sum of the product’s lines: negotiated (or list) price times quantity, before taxes.
Sales How many were won: Approved, Paid, or Invoiced. How many won quotes include the product.
Sold Total of the won quotes. Sum of the product’s lines in won quotes.
Close rate Sales over Quotes, as a whole percentage. Same, counting quotes that include the product.
Average ticket Sold over Sales. The product’s Sold over the won quotes that include it.
Lost How many ended up Rejected or Expired. How many quotes with the product ended up Rejected or Expired.
Days to close Average days from creation to approval for won quotes, with one decimal. Not available.
Units Not available. Units of the product in won quotes.
Gross margin Not available. Sold minus cost, only on lines with a cost captured when quoting.

Which metrics don’t apply to which grouping, and why

  • Units and Gross margin exist per line: a quote with five products has no single “units” or cost. They can only be checked when grouping by Product; in any other grouping they appear disabled with the hint “Only when grouping by product”.
  • Days to close exists per quote: the time between creating and winning it isn’t split across its lines. When grouping by Product it appears disabled with the hint “Not available by product”.
  • If you change the grouping and a checked metric stops applying, it’s removed automatically. If none is left, the starting set (Quotes, Sales, Sold, and Close rate) comes back without the ones that don’t apply.
  • Gross margin only adds lines with a cost: a zero cost is treated as “I don’t know”, not “it was free”. If no line in the row has a cost, the cell shows —.

Up to six metrics

You can check up to six metrics at a time. Once you reach six, the other chips are disabled and “Up to six metrics at a time.” appears; uncheck one to pick another. At least one always stays checked: unchecking the last one does nothing.

How your chosen metrics are used

  • KPIs: the first four checked metrics, in chip order, with their comparison against the previous period (in percent; close rate in points).
  • Chart: the first money metric you checked (if there’s none, the first metric). By Month, Week, or Day, vertical bars with every period; in other groupings, the first 10 rows as horizontal bars.
  • Total row: the values for the whole range, not the sum of the rows: a rate or a ticket can’t be added. That’s why the Quotes total when grouping by Product can be lower than the sum of the rows (a quote with two products counts once).

Every change in Group by or in the metrics applies on its own and reloads the table. (If your browser doesn’t run JavaScript, the Apply button appears.)

The configuration lives in the page address: the report, the range, the grouping, and the metrics. Copy the link and whoever opens it, with the Reports permission, sees exactly the same report under their own permissions. Export CSV downloads exactly what you see, named cord-explorar-{from}_{to}.csv; the file format is described in Export CSV.

Drill-down: from month to week to day

Grouped by Month, each bar in the chart opens that month grouped by Week; grouped by Week, each bar opens that week grouped by Day. You keep the same metrics. The period is trimmed to your range. Grouped by Client or Product, the bar opens the record.

On desktop, a click (or Enter) navigates directly. On mobile, the first tap shows the value and the tooltip includes View detail →.

Saving a report

The Save report dialog: Name "Sales by country" and Email delivery set to Every Monday, with the note "It goes to you, covering the period that just ended, with the CSV attached."; at the bottom, Cancel and Save.
  1. Set up the grouping and metrics.
  2. Click Save. Save report opens.
  3. Type a Name of 1 to 80 characters (for example, “Sales by country this quarter”). Repeated spaces are collapsed into one.
  4. Choose Email delivery: No delivery, Every Monday, or On the 1st of every month. Below it says: “It goes to you, covering the period that just ended, with the CSV attached.”
  5. Click Save. The page reloads with the saved report open.

What is saved and what isn’t:

  • Saved: the name, the grouping, the metrics, and the delivery frequency.
  • The date range isn’t saved. When you open a saved report, the range is the link’s, or the last one you used in the Custom report in that browser, or Last 30 days. That way the same report works for this month and the next.

Where it appears

Saved reports appear in the report picker, under Custom, in alphabetical order, labeled Saved report. When you open one, its name becomes the page and picker title.

They’re shared with the whole organization: anyone with the Reports permission sees and opens them. If someone else saved it, “Saved by another team member” appears under the bar.

Cap

Each organization can have up to 50 saved reports. At the cap, Cord says “You reached the maximum of 50 saved reports. Delete one to save another.” It isn’t a plan limit: it’s the same on every plan.

Editing, duplicating, and deleting

The saved report "Sales by country" opened from Custom: the title is its name, the picker shows the pin and the controls card has the delete button and Save changes, with Group by Country and the metrics Quotes, Sales, Sold, Close rate and Average ticket selected; Units and Gross margin appear disabled because they only apply when grouping by product. Below, the KPIs against the previous period (Sold $1,390,300.00 MXN, +18%), bars of what was sold by country (Mexico, United States, Spain, Colombia, Canada, and Chile) and the table with its Total row.

With a saved report open, what you can do depends on who you are:

Action Whoever saved it Super admin or Admin Any other member with Reports
View it, change the range, export CSV Yes Yes Yes
Save changes (name, grouping, metrics) Yes Yes No
Save as new (a copy with another name) Yes Yes —
Save (creates a new report of your own) — — Yes
Delete Yes Yes No
Schedule or change Email delivery Yes Only turn it off No (yes on their own copy)
  • Save changes: change the grouping or metrics, click Save changes, and confirm in the dialog. The dialog includes Save as new to create a copy without touching the original. The copy is yours and takes the Email delivery chosen in the dialog; if it has delivery, it goes to you.
  • Delete: the trash icon button, next to Save changes. It asks “Delete this saved report? This does not delete any data.” Deleting it also turns off its email delivery.
  • If you can’t edit it, you see the Save button (without the trash icon). When you click it, Save report opens with an empty name and creates a new report of your own with the grouping and metrics on screen; the original isn’t touched. That copy is yours: you can edit it, delete it, and schedule its email delivery.

Receiving it by email

Scheduling it

When you save (or with Save changes on a report you saved), choose under Email delivery:

Option When it arrives Which period it covers
Every Monday On Monday, in your business time zone. The full previous week, Monday to Sunday.
On the 1st of every month On the 1st, in your business time zone. The full previous month.
No delivery It doesn’t arrive. —
  • It only goes to you, at the email address of your Cord user. You can’t add recipients: if someone else on the team wants it, they save their own copy and schedule it.
  • The first email arrives in the next period. If you schedule weekly delivery on a Wednesday, the first one arrives the following Monday with the week that just ended; a monthly one scheduled on October 8 arrives on November 1 with all of October. Switching from weekly to monthly (or back) restarts that clock.
  • Nobody schedules it for you. An email that would reach you is only turned on by you. What someone else sees when they open your saved report:
    • A Super admin or Admin, if the report has delivery: under Email delivery, only No delivery and the current frequency, with the note “As an admin you can turn this delivery off; only the person who saved the report can schedule it.”
    • An admin, if the report has no delivery: “Email delivery is scheduled by whoever saved the report.”
    • Any other member: the Save button creates their own copy, and that one they can schedule.

What the email contains

Scheduled email for "Sales by country": the Cord logo, Materiales del Valle, the report name and the closed week (Sep 28, 2026 – Oct 4, 2026); Quotes 12, Sales 6, Sold $296,400 MXN, and Close rate 50%, each compared with the previous period; the note about the attached CSV, the Open in Cord button and the footer that explains why it arrives. At the end, the file cord-informe-2026-09-28_2026-10-04.csv.
  • Subject: “{name} · {period}”, for example “Sales by country · Sep 1, 2026 – Sep 30, 2026”.
  • Header: your business name, the report name, and the period dates.
  • KPIs: the report’s first four metrics with their value for the period and, below, “vs. {value} the previous period”. In the email, the previous period is the full previous calendar period: the previous Monday-to-Sunday week, or the whole previous month (September against all of August, even though August has 31 days). On the Reports screen, by contrast, the comparison is still against the same number of days right before.
  • “The full detail is in the attached CSV, ready to open in Excel or Google Sheets.”
  • Open in Cord: opens that saved report with exactly that period. It asks you to sign in and requires the Reports permission.
  • Attachment: cord-informe-{from}_{to}.csv, in the same format as Export CSV.
  • Footer: “You receive this email because you scheduled this report. Change or turn it off from Reports in Cord.”

The email uses your account language and amounts in your business currency, without decimals.

Changing or turning it off

Open the saved report, click Save changes, and choose another frequency or No delivery. It also stops arriving if the report is deleted. A Super admin or Admin can turn off delivery on someone else’s report (choosing No delivery and Save changes) or delete it.

When it stops arriving without you turning it off

  • You leave the team or your user is deactivated in that organization.
  • You lose the Reports permission.

In both cases the report isn’t sent and its clock doesn’t advance: if you get access back, the next delivery covers the latest closed period. In the meantime nobody else receives your numbers.

If delivery fails

If the email couldn’t be sent, the period isn’t marked as sent and is retried on the next run, the following day. A run that doesn’t happen doesn’t skip the week either: the next one sends it. Two emails for the same period never arrive.

Common problems

A metric is disabled. It doesn’t apply to that grouping: Units and Gross margin only by Product; Days to close not by Product. Or you already checked six.

Sold doesn’t match Sales over time. The explorer counts the cohort of quotes created in the range; Sales over time counts sales by approval date.

The Quotes total is lower than the sum of the rows. Grouped by Product, a quote with several products appears in several rows but counts once in the total.

I opened a saved report and the range isn’t the one it had. Saved reports don’t save the range: they use the link’s or the last one you used in that browser.

Monday’s email didn’t arrive. Check that you saved the report, that its delivery says Every Monday, that you’re still active with the Reports permission, and that you didn’t schedule it this same week (the first one arrives in the next period). Also check your spam folder.

I can’t schedule delivery. Only whoever saved the report can schedule it. Open the report, click Save to create your own copy, and schedule that one.

“You reached the maximum of 50 saved reports.” Delete one that’s no longer used; the organization shares the cap.
