QuickBooks Online
Every Cord invoice, recorded in your QuickBooks with its customer, lines and currency.
This feature is new and may not be enabled on your account yet. If you do not see it, write to us.
How it works
Every invoice you issue in Cord shows up in your accounting with its customer, lines and currency. You stop entering the same thing twice.
QuickBooks has no drafts: what goes in is recorded in your books. That is why Cord only sends invoices that are already final on its side.
Requirements
| Where | What you need |
|---|---|
| Cord | The Settings permission. Any plan. Invoices issued in Cord: drafts do not travel. |
| QuickBooks | A company in QuickBooks Online and a user who administers it. QuickBooks Desktop cannot be connected. |
| Taxes | In your QuickBooks, a tax code for every rate you use in Cord, or automated sales tax in the United States. |
Connect
- Go to Settings › Integrations › QuickBooks Online. You need the Settings permission.
- Click Connect QuickBooks and authorize with the account that manages your company.
- When you come back you see the connected company’s name. From then on, each new invoice travels on its own.
- If you already had invoices, click Send the pending invoices to send the latest 50 missing ones.
What it creates in your accounting
| Record | Detail |
|---|---|
| Customer | If it does not exist. Cord looks it up by email first, then by name, so it does not duplicate it, and remembers the link for later invoices. |
| Invoice | Date, due date, currency and one line per item with the negotiated price and its discount applied. |
| “Cord” service | Created once. QuickBooks requires every sales line to hang from a product; Cord uses one instead of filling your catalog. |
| Private note | Holds the Cord number. The invoice number belongs to your accounting and Cord does not overwrite it. |
| Payment | One for each payment on an invoice already in QuickBooks. See Payments. |
Payments
Payments travel both ways, only for invoices already in QuickBooks:
- From Cord to QuickBooks. Every payment on an invoice already in QuickBooks is recorded there as a payment against that invoice, in Undeposited Funds. It happens when the payment is recorded in Cord, and also when an invoice that already had payments is posted.
- From QuickBooks to Cord. A payment you record in QuickBooks against a Cord invoice marks it in Cord, with QuickBooks as the method. Cord checks once a day, and also when you click Send the pending invoices. If a QuickBooks payment covers several invoices, Cord takes only the part applied to each one.
A payment is never recorded twice and never bounces back: what came in from QuickBooks is not sent there again. QuickBooks does not ask for a new permission for this.
What it does not do yet
- Invoices with withholdings are not sent. QuickBooks does not record them on a sales invoice; post them by hand.
- It only brings payments from your accounting into Cord. Customers, products and invoices created in QuickBooks do not come into Cord.
Taxes
Each line enters with the QuickBooks tax code whose rate matches Cord’s. In the United States, where QuickBooks computes sales tax itself, Cord sets the invoice’s total tax so it is not recalculated. If QuickBooks ends up with a total different from Cord’s, the invoice is deleted and the card tells you.
Guarantees
- An invoice is never sent twice. Cord remembers which invoice was recorded and does not repeat it, even if the event is retried.
- Only final invoices travel. Never a quote or a Cord draft.
- Each line amount is computed on the already-rounded price, so the total matches Cord to the cent.
What flows and in which direction
| Direction | What flows | When |
|---|---|---|
| From Cord to QuickBooks | The customer (if it does not exist), the final invoice with its lines, tax and currency, and the “Cord” service the first time. | When the invoice is issued or sent in Cord, and when you click Send the pending invoices. |
| From Cord to QuickBooks | Every payment on an invoice that is already in QuickBooks, as a payment to Undeposited Funds. | When the payment is recorded in Cord. |
| From QuickBooks to Cord | Payments you record there against a Cord invoice, with QuickBooks as the method. | Once a day and when you click Send the pending invoices. |
| From QuickBooks to Cord | Nothing else: customers, products and invoices created in QuickBooks do not come into Cord. | — |
Limits
| Limit | Value |
|---|---|
| Companies per organization | One |
| Send the pending invoices | Up to 50 missing final invoices, and up to 3 times every 5 minutes |
| Invoices per Cord document | One, even if the event repeats |
| Invoices with withholdings | Not sent |
| Payments coming from QuickBooks | Checked once a day |
Disconnect
With Disconnect on the card. What was already recorded stays in your accounting. If you connect a different company or organization, Cord starts from scratch with it instead of reusing the previous one.
Common issues
| Message or symptom | What to do |
|---|---|
| The card asks you to reconnect | QuickBooks expired or revoked access. Reconnect; missed invoices go out with Send the pending invoices. |
| “0 invoices sent” | There are no pending final invoices, or they were all already recorded. |
| “Your accounting has no … sales tax rate” | Create a QuickBooks tax code with that exact rate and click Send the pending invoices. In the United States, turn on automated sales tax. |
| “The total did not match” | QuickBooks computed a different total and Cord deleted the invoice instead of leaving it posted wrong. Check that the rate is the same on both sides. |
