HubSpot troubleshooting
Almost everything that can fail in the sync has a clear message and a one-minute fix.
Where to see if something fails
In Settings › Integrations › HubSpot:
- Status: Connected or Needs reconnecting. The latter also shows on the directory card.
- Queued: pending sends. It is normal to see numbers after Send existing data; they should go down on their own.
- Errors (7 days): sends that failed after all their retries.
- Last error: the most recent error message. Use the tables below to fix it.
Sync error messages currently appear in Spanish in the app. The tables below give the English meaning.
How Cord retries
- If HubSpot does not respond or has a temporary problem, Cord retries the same send up to 5 times, with more spacing each time.
- If HubSpot asks to slow down, Cord pauses sends for as long as HubSpot says and continues, without counting that pause as a failure.
- If the connection lost its authorization, Cord stops sending and reschedules for later; sends resume when you reconnect.
- Data errors (a currency not enabled, a stage that no longer exists) are not retried, because they would fail the same way. They are recorded as errors until you fix the cause.
After fixing the cause of a data error, click Send existing data to resend what failed.

Common situations
“I don’t see the Deal for a quote”
Check, in order:
- Was the quote sent? Drafts are not sent.
- Does its status have a stage? If you left a status without a stage, quotes in that status are not sent.
- Is it queued? Look at Queued in the panel.
- Is there an error? Look at Last error; a currency not enabled is the most common cause.
- Is it older than the connection? Earlier data is not sent on its own: use Send existing data.
“Companies got duplicated in HubSpot”
Cord creates one Company per client and does not search for existing Companies by name. If you already had those companies in HubSpot before connecting, you see two. You can merge them in HubSpot. Contacts are not duplicated: Cord finds them by email.
“I moved a Deal in HubSpot and nothing changed in Cord”
That is expected. The sale status is decided in Cord by the client’s approval and payment, and Deals do not flow back to Cord. The next time the quote changes, Cord moves the Deal to the matching stage.
“I fixed a phone in HubSpot and Cord still has the old one”
Check that the Contact is linked to a Cord client (Cord created it or found it by email). Contacts created by hand in HubSpot and not linked do not update anyone. Empty fields are not applied either: clearing a phone in HubSpot does not clear it in Cord.
“The workflow note went to the Company instead of the Deal”
The quote did not have a Deal yet when the workflow ran, usually because its status has no stage or a send failed. Fix the cause; the following notes will go to the Deal.
