Connect HubSpot

Your Cord clients and quotes, up to date in HubSpot, without entering them twice.

What the integration does

  • Every Cord client is created in HubSpot as a Company and, if it has an email or contact name, also as a Contact associated with that Company.
  • Every sent quote is created as a Deal with its amount and currency, associated with the client’s Company and Contact.
  • The Deal moves on its own: Cord updates its stage when the client opens the quote, approves it, rejects it, when it expires, is paid or invoiced.
  • Contact corrections flow back to Cord: if you fix the Company name, or the Contact’s name, email or phone in HubSpot, they change in Cord too.

Cord owns the sale status. Moving a Deal to another stage in HubSpot does not change the quote in Cord: its status is decided by the client’s approval and payment.

Before connecting

  • In Cord: you need the Settings permission.
  • In HubSpot: you need a user who can install apps in the account. If you do not have one, ask a HubSpot Super Admin to connect.
  • One account per organization: a HubSpot account can only be connected to one Cord organization, and each Cord organization connects to a single HubSpot account.
  • Currencies: if you quote in several currencies, enable them in your HubSpot account’s currency settings. A Deal in a currency HubSpot has not enabled cannot be created.

Connect step by step

  1. Open the app. Go to Settings › Integrations and tap HubSpot.
  2. Click Connect HubSpot. Cord takes you to HubSpot.
  3. Choose the HubSpot account, if you have several, and accept the permissions. You have 10 minutes to complete this; if it takes longer, click Connect again.
  4. Return to Cord. You see “HubSpot is connected.” and the Connected status, with the account name.
  5. Review the stages. In HubSpot stage for each quote status, confirm the pipeline and the stage for each status and click Save stages. If you use HubSpot’s default pipeline, Cord already suggests a stage for each status. See Pipeline and stages.
  6. Send what you already had (optional). In Existing data, click Send existing data to send your earlier clients and quotes. See What syncs.

From then on, every new or updated client and every quote that moves forward is sent automatically.

If the button does not take you to HubSpot or you come back to an error, click Connect HubSpot again from Cord. Do not reuse an old authorization link saved in your browser: every attempt creates a one-time link.

Permissions Cord requests

When authorizing, HubSpot shows the permissions Cord requests. Only what this integration needs:

Permission What for
Read and write Companies Create each client’s Company and read name corrections.
Read and write Contacts Create each client’s Contact, find existing ones by email and read corrections.
Read and write Deals Create each quote’s Deal, move its stage and read your pipelines.

Cord does not read your emails, calls, tickets, lists, forms or any other HubSpot object.

Connection messages

Message What happened What to do
HubSpot is connected. All good. Review the stages.
You canceled the HubSpot connection. You closed or declined the authorization in HubSpot. Click Connect HubSpot again whenever you want.
The connection request expired or is not valid. Try again. More than 10 minutes passed, an old link was used or it was opened from another session. Click Connect HubSpot again from Cord.
That HubSpot account is already connected to another Cord organization. The account is in use in another organization. Disconnect it there or choose another account.
Couldn’t connect HubSpot. Try again. HubSpot did not complete the authorization. Try again; if it persists, write to contacto@cordhq.app.
You need Settings permission to connect integrations. Your role lacks the Settings permission. Ask the account owner to connect or grant you the permission.

The connection panel

Once connected, the HubSpot page shows:

Item What it is
HubSpot account The number and domain of the connected account.
Last sync When something was last sent or received. “Not yet” if nothing has happened.
Queued Pending sends.
Errors (7 days) Sends that failed in the last week.
Last error The most recent error message, if any.

Switch to another HubSpot account

Disconnect the current account and connect the new one. When you connect a different account, Cord forgets the links to the previous account and resets the stage settings, because the other account’s pipelines do not exist in the new one. Then use Send existing data to populate the new account.

If you reconnect the same account, Cord keeps the links and your stage settings: Companies and Deals are not duplicated. Changes you made in Cord while disconnected were not sent; use Send existing data to catch up.

Disconnect

  1. In Settings › Integrations › HubSpot, click Disconnect.
  2. Confirm in Disconnect HubSpot?.
  3. You see “HubSpot disconnected”.

When you disconnect:

  • Cord stops syncing and discards queued sends.
  • Cord revokes its access to your HubSpot account.
  • What is already in HubSpot is not deleted: Companies, Contacts, Deals and notes stay as they are.
  • Workflows with the Add a note in HubSpot action start failing with “Connect HubSpot in Settings › Integrations to use this action.”
