HubSpot pipeline and stages

You decide which stage of your pipeline each Deal lands in, based on what happens to the quote in Cord.

The seven statuses that are sent

Cord moves the Deal when the quote changes to one of these statuses. For each one you choose a HubSpot stage:

Status in Cord When it happens
Sent The quote is sent to the client. This is when the Deal is created.
Viewed by client The client opens the link.
Approved The client approves it.
Rejected The client rejects it.
Expired The validity date passes without closing.
Paid Full payment is recorded.
Invoiced The invoice or CFDI is issued.

Drafts are not sent, so they have no stage.

Default setup

If you change nothing, Cord uses your HubSpot account’s default pipeline with these stages:

Invoiced Closed won

These are the stages HubSpot creates its sales pipeline with. If your account renamed or deleted them, choose yours before sending data.

Choose another pipeline or change stages

  1. Go to Settings › Integrations › HubSpot. Cord loads your HubSpot pipelines (“Loading HubSpot pipelines…”).
  2. In Pipeline, choose the pipeline for your Deals.
  3. In HubSpot stage for each quote status, choose a stage for each of the seven statuses.
  4. Click Save stages. You see “Stages saved”.

When you switch to a pipeline that is not the default, Cord cannot guess your stages: they all show Choose a stage until you select them. While any is missing you see “Choose a stage for each status. Quotes in a status without a stage aren’t sent to HubSpot.”

You can reuse a stage for several statuses. For example, Rejected and Expired in the same “lost” stage.

Close date

When a quote reaches a closing status, Cord fills the Deal’s Close date with the actual close date:

Status Close date
Paid The payment date.
Invoiced The payment date or, if no payment was recorded, the approval date.
Expired The quote’s validity date.
Rejected The day Cord sends the rejection to HubSpot.

Other statuses do not touch the close date. Because it uses the actual date, sending existing data from past months does not leave every Deal closed “today”.

For HubSpot reports to count won and lost correctly, map Paid and Invoiced to a won stage and Rejected and Expired to a lost stage.

What happens if you change the setup later

  • Existing Deals do not move when you save. Each Deal takes the new stage the next time its quote changes.
  • Changing pipeline works the same way: a Deal moves to the new pipeline when its quote changes again.
  • To move everything at once, click Send existing data after saving: among the 500 most recent quotes, those whose Deal does not match the new setup are updated.

Errors when saving

Message What to do
That pipeline does not exist in your HubSpot account. Reload the page: the pipeline was deleted or changed in HubSpot.
A stage does not belong to the chosen pipeline. You switched pipelines and a stage from the previous one remained. Choose them again.
We could not check your HubSpot pipelines. Try again. HubSpot did not respond. Wait a moment and save again.
We couldn’t read your HubSpot pipelines. Reload the page to try again. Shows when opening the page if HubSpot did not respond or the connection needs reconnecting.
Connect HubSpot before configuring it. The connection was disconnected. Connect again.

If you delete a stage in HubSpot

If you delete or archive in HubSpot a stage Cord uses, sends of quotes in that status fail with a message saying the configured pipeline or stage no longer exists in HubSpot. Choose another stage, save and use Send existing data to resend the ones that failed.
