Mexico

CFDI 4.0 stamped with the SAT using your own CSD, with the payment method, complements, and keys the SAT asks for.

What it is

In Mexico Cord issues CFDI 4.0 stamped with the SAT through an authorized certification provider, under your RFC and with your Digital Seal Certificate (CSD). You upload the CSD once and from then on every invoice, credit note, and payment complement is stamped in your name. On the Free plan, and when you choose the commercial option, Cord issues a pro forma with the PRO series, which does not replace a CFDI.

In Mexico
Default currency MXN (you can invoice in another currency with an exchange rate)
Tax IVA, with IVA and ISR withholdings
Tax ID RFC, validated with its check digit
Document CFDI 4.0 income, expense (credit note), and payment (complement)
Authority SAT, through an authorized certification provider
PDF language Your client’s or, if they have none, your account’s; the stamped CFDI PDF, in Spanish
Online payments Card (also in interest-free installments) and SPEI with Cord Payments, and Mercado Pago

Requirements

  • Plan: Starter or higher to stamp. On Free you issue pro formas (10 per month).
  • A valid CSD for your RFC: the .cer and .key files and the key password. You obtain it from the SAT; Cord does not issue it.
  • Complete tax details in Settings › Tax details: RFC, legal name, tax regime, and issuing zip code.
  • Permissions: Settings to upload tax details and the CSD; Quotes to create and issue invoices; Collections to record payments, void, replace, and issue credit notes.

Set up your account

  1. Open Settings › Tax details and complete Tax identification: RFC, legal name exactly as on your certificate, tax regime, issuing zip code, and default CFDI use.
  2. Under Digital Seal Certificate (CSD), upload your .cer and .key, type the key password, and click Upload CSD and connect. The password is only used to decrypt the key: Cord does not store it.
  3. Review your catalog in Settings › Taxes: Cord seeds it with IVA 16%, IVA 8% for the border region, Exento, and the most common withholdings.
  4. Classify your products in Products, section E-invoicing (SAT, Mexico), with their product or service key and their unit key.
  5. Complete each client’s tax details on their profile: RFC, tax regime, CFDI use, and tax zip code.
Settings › Tax details, "Digital Seal Certificate (CSD)" section of an account in Mexico, with the business details and the certificate uploaded.

Taxes and withholdings

Settings › Taxes of an account in Mexico: the starter catalog Cord seeds, with 7 profiles, the default one marked and the note that rates apply per line.
Seeded profile Rate How it is calculated
IVA 16% 16% Transferred on each line item’s base. It is the default.
IVA 8% región fronteriza 8% Border region incentive, valid until December 31, 2026: check that it still applies before using it in 2027.
Exento 0% Exempt line item: it transfers no IVA.
Retención IVA 10.6667% 10.6667% Two thirds of the 16% IVA, only on the taxed amount: an exempt line item is not part of the base.
Retención ISR 1.25% 1.25% On the subtotal (RESICO).
Retención IVA 4% (autotransporte) 4% Road freight transport, on the taxed amount.
Retención IVA 6% (servicios de personal) 6% Staffing services, on the taxed amount.

Cord sends the SAT the taxes of each line item as you captured them, not a single rate. Withholdings marked as default are subtracted from the total. If you invoice in another currency, the CFDI declares the exchange rate frozen when the quote was made.

Recipient details

Cord takes the client’s tax details from their profile and does not make them up:

Data If missing
RFC Stamped with the generic RFC XAXX010101000, in the client’s name, with regime 616 and your business’s zip code.
Tax regime 601 (General de Ley Personas Morales) if the client has an RFC.
CFDI use Your account’s, or G03 (General expenses).
Tax zip code There is no substitute: the SAT may reject the stamping.

The defaults may not match your client’s tax certificate. Complete them before issuing so the CFDI is useful to your client.

Foreign clients

If the country on the profile is not Mexico, the CFDI is issued to a foreign resident: generic RFC XEXX010101000, their tax residence (the profile’s country), use S01, and, if you captured it, their tax ID (EIN, NIF, VAT) as the tax registration number. You decide each line item’s rate with your accountant; services exports usually go at 0%.

SAT keys per line item, CFDI to foreign clients, the global invoice, and CFDI replacement are new. This feature is new and may not be enabled on your account yet. If you don’t see it, contact us.

SAT keys for each line item

  • Each product carries its product or service key (c_ClaveProdServ, 8 digits) and its unit key (c_ClaveUnidad). The product key is searched by description in the SAT catalog; the unit key, if left empty, is derived from the product’s unit (hour → HUR, month → MON, kg → KGM).
  • In the invoice and quote editors, each line item can carry its own keys, which take precedence over the product’s. Duplicating a document keeps them.
  • A line item with no keys of its own and no classified product is stamped with the generic 01010101 and H87, and the editor tells you how many are left that way before you issue.
  • A key with an invalid format is rejected when saving, naming the line item.

Payment method: PUE, PPD, and payment complement

Cord decides the method when stamping, using the invoice’s actual payments:

  • PUE (single payment) when the invoice is already fully paid at issuance, with the payment form of the charge (credit card 04, debit card 28, transfer 03, cash 01, check 02). You can set the form by hand in the editor; it only applies to a PUE.
  • PPD (installment or deferred payment) with form 99 when the invoice is issued before it is paid.
  • For each payment you record on a PPD CFDI, Cord automatically stamps a payment complement (CFDI type P) related to the invoice. You see it in the invoice’s activity.
  • A CFDI to “público en general” (generic RFC) is always stamped PUE: it does not accept a complement.

When the complement is not automatic

If the payment is in another currency, the complement needs the official exchange rate of the payment date, and if the payment predates the invoice it is an advance, which the SAT documents with another procedure. In both cases Cord does not stamp it and the invoice’s activity says why: issue it with your accountant. If a complement could not be stamped for another reason (for example, your plan’s quota), contact us to retry it.

Each payment complement counts as one tax document of your monthly quota.

Invoice status

Detail of invoice FAC-000231 from Materiales del Valle (Mexico) to Distribuidora El Zarco, for $196,469.20 MXN: items, taxes and balance at the top; below, the invoice details and its tax folio and its activity.

On the invoice detail you see the tax folio (UUID) the SAT assigned, each line item’s keys, taxes by rate, the amount paid, and the balance. The activity records issuance, sending, when the client opened it, and each payment. The PDF and XML are downloaded from the invoice and from its public link.

Global invoice to the general public

Sales that were paid without the client asking for an invoice are documented in Invoices › Global invoice:

  1. Choose the periodicity (daily, weekly, fortnightly, monthly, or bimonthly; bimonthly only with regime 621), the month, and the year. For short periodicities, also choose the range of days.
  2. Review the list: Cord shows the quotes paid in the period that have no invoice of their own or another global invoice, and says why it excludes the rest (another currency, withholdings, foreign client, or a rate other than 0, 8, or 16%).
  3. Adjust the payment form if needed (by default, the one of the largest sale) and issue.

The global invoice is stamped to PUBLICO EN GENERAL (XAXX010101000, regime 616, use S01, method PUE), with one line item per sale and per rate: key 01010101, unit ACT, and the sale’s number as the identification number. A sale included in a valid global invoice cannot be invoiced separately: if the client asks for their invoice, cancel the global invoice with reason 04 and issue it again without that sale.

Cancel, replace, and credit

Cancel. When you void a CFDI, Cord asks for the SAT reason:

Reason When
02 Document issued with errors, without a relation.
03 The transaction did not take place.
04 Nominative transaction related in a global invoice (global invoice only).
01 Document with errors with a relation: used with Replace CFDI.

A cancellation request does not void the CFDI until the SAT confirms it. Meanwhile the invoice says it is in progress and you can click Check cancellation status. An invoice with payments applied is not voided: it is corrected with a credit note.

Replace CFDI (reason 01). From the invoice, Replace CFDI creates a draft with the original’s data so you can correct what is needed. When you issue it, Cord relates it to the original (relation 04), moves the original’s payments to it, and requests cancellation of the original with reason 01 and the replacement’s UUID. An invoice with valid credit notes or issued payment complements cannot be replaced: the SAT does not allow canceling a CFDI with valid related documents.

Credit note. It is an expense CFDI related to the original UUID (relation 01), with use G02 when the client has an RFC. It keeps the original line items, rates, and withholdings; it can be full or partial.

Refund. Refunding an invoice’s online payment from Cord doesn’t cancel or change the CFDI or its payment complement: document the return with a credit note. While there is refunded money without a note that covers it, the invoice detail reminds you. See Refunding an invoice payment.

Get paid online

  • Card with Cord Payments, on the quote link and on the invoice link.
  • Interest-free installments (MSI) with a Mexican credit card, if you turn them on: your customer picks the term when paying in MXN and you receive the full amount in your payout; each term has an additional cost deducted from that payment. They don’t apply to automatic payments. See Interest-free installments.
  • Automatic SPEI for MXN payments on the quote and on the invoice link: each quote payment and each invoice has its own CLABE and reconciles by itself. A PPD invoice paid by SPEI gets its payment complement with form 03. On invoices it’s a new feature: see SPEI on the invoice link.
  • Mercado Pago, as an alternative on the same page.
  • The Cord Payments fee applies to MXN payments; each month Cord issues you its own CFDI for that fee. See Fees.
  • Your payouts arrive at your CLABE account, validated with its check digit. See Payouts.

In Settings › Payments › Payment methods, a business in Mexico sees card, Interest-free installments (MSI) (which depends on card), and Automatic SPEI transfer, each with its MXN fee, and under Other processors, Mercado Pago. Bank debit isn’t offered in MXN.

Materiales del Valle's (Monterrey, Mexico) Settings › Payments › Payment methods with an active payments account. Under Online payments, each method with its fee: Credit and debit card: Active; Interest-free installments (MSI): Active; Automatic SPEI transfer: Active; automatic payments allowed; under Other processors, Mercado Pago not connected with its Connect Mercado Pago button; and the transfer to your account with the bank, CLABE and beneficiary. At the top, "Your client will see: Credit and debit card, Interest-free installments (MSI), Automatic SPEI transfer and Transfer to your account."

On the link of an invoice in MXN, when your client chooses SPEI they see that invoice’s own CLABE and the payment reference:

Link for invoice FAC-000242 after pressing the SPEI button: the selector stays on SPEI transfer and, below the invoice, the SPEI instructions with the reference 4829173 highlighted with its Copy button, the Amount $36,435.60 MXN, CLABE 646180701245389169, Bank STP, Beneficiary Materiales del Valle, the note about transferring less or more, and the Print or save PDF button.

What Cord does not cover yet

  • Foreign Trade complement. The definitive export of goods (key A1) requires it; Cord stamps the export as “Not applicable” and does not issue that complement.
  • IEPS and the taxed zero rate as a classification of its own: Cord does not infer them from a percentage.
  • Payment complement in another currency and advances: documented outside Cord, as explained above.
  • Automatic cancellation response from the recipient: checking the cancellation status is manual, with Check cancellation status.

Common problems

My invoice came out as a pro forma. Check your plan (Starter or higher), that your CSD is uploaded and valid, and that you did not choose the commercial option when issuing.

My client says their CFDI is not usable. Check the tax regime, tax zip code, and CFDI use on their profile; if they were missing, Cord used defaults. Correct them and replace the CFDI with reason 01.

The editor says some line items have a generic key. Assign the key on the product or on the line item before issuing.

I can’t replace an invoice. It has valid credit notes or issued payment complements. Cancel those documents first or contact us.

The cancellation is still in progress. In some cases the SAT waits for the recipient’s acceptance. Click Check cancellation status to see the status.
